ProposalKit turns a template into a client-ready proposal, tracks it through send, acceptance and payment, and keeps your client directory and revenue history alongside it. Everything the app can do, an AI assistant can also do. Workspace access is invite-based while ProposalKit is in private access mode — request it from the [contact form](/home#contact) if you do not have an account yet. 2. **Set up two-factor authentication**: Two-factor is required on every account. You will be asked to scan a QR code with an authenticator app on your first sign-in. See [Signing in safely](/docs/security). 3. **Fill in your company profile**: Profile → Company details. Your company name, business email, phone and address appear as the sender on every proposal you create, so set them before you start drafting. 4. **Add a client**: Clients → Add client. Or skip it — the proposal builder can add a client as you go, and you can leave it blank and fill it in later. 5. **Create a proposal**: Proposals → New proposal. Pick a template, pick a client, check the title and total, then create. See [Creating proposals](/docs/proposals). 6. **Edit, preview and send**: The editor opens on your new proposal. Adjust the wording and pricing, preview how the client will see it, then mark it as sent. #### Trying it without an account **Continue without an account** on the sign-in page starts a guest session. The whole app works, but your work stays in that browser only. See [Guest mode](/docs/guest-mode). #### Adding your AI assistant Once you can sign in, take your key from Profile → API key and follow [Connect an AI client](/docs/mcp-connect). Sign in at [/auth](/auth) with your email and password, then confirm a code from your authenticator app. #### Two-factor is required Every ProposalKit account uses two-factor authentication. It is not an optional setting you can turn off — proposals carry client contact details, contract values and signatures, so a password alone is not enough to reach them. 1. **Sign in with your email and password**: On your first sign-in you are taken straight to two-factor setup. 2. **Scan the QR code**: Use any authenticator app — Google Authenticator, Authy, 1Password, Bitwarden or similar. ProposalKit shows the code on screen; nothing is emailed or texted. 3. **Enter the 6-digit code**: That confirms the pairing and takes you into your workspace. 4. **After that, one code per sign-in**: Your authenticator shows a fresh code every 30 seconds. Enter the current one. > **WARN**: **Finish setup in one go** — Two-factor setup has to be completed shortly after you sign in. If you leave it part-way, just sign in again and start over — nothing is saved until a code is confirmed. #### If a code is rejected - Make sure you are entering the **current** code — they rotate every 30 seconds. - Check your device clock is set automatically. A clock that has drifted produces codes that will not match. - If setup timed out, sign in again to restart it. #### Staying signed in Your session lasts a while but not forever, so you will be asked to sign in again periodically. Use **Sign out** on a shared or public computer rather than just closing the tab. #### Locked out Repeated failed sign-in attempts temporarily lock an account, and the message tells you how long is left. Wait it out, or use your password reset if you are not sure of your password. > **DANGER**: **Lost your authenticator?** — There is no self-service reset — that is deliberate, because a reset link would undo the protection. Reach us through the [contact form](/home#contact) and two-factor can be re-enrolled for you. --- ### Your API key URL: https://proposalkit.in/docs/api-keys Summary: The key that lets an AI assistant work in your workspace, and how to rotate it. AI assistants connect with an **API key** rather than your password. Find yours at Profile → API key. It identifies you, so anything the assistant does appears as your work, limited to your own proposals and clients. #### Treat it like a password > **DANGER**: **Anyone holding your key can act as you** — Do not paste it into a shared document, a screenshot, a support ticket, or a file you commit to a code repository. If you are configuring an AI tool inside a project folder, keep the key in your personal settings rather than anything that gets shared with your team. #### Rotating it Profile → API key has a rotate button. Use it if the key has been exposed, if someone leaves the team, or as routine housekeeping. > **WARN**: **Rotating disconnects every assistant at once** — You have one key, not one per tool. After rotating, paste the new value into each AI client you have set up — otherwise they stop working. #### Expiry Keys expire periodically so a forgotten one cannot be used indefinitely. The Profile page shows how long yours has left, and an expired key is refused with a message telling you to generate a new one. --- ### Guest mode URL: https://proposalkit.in/docs/guest-mode Summary: Exploring the workspace without an account. **Continue without an account** on the sign-in page lets you try everything — build a proposal, add a client, record a payment — without signing up. > **WARN**: **Guest work is temporary** — It is kept in your browser, not in your ProposalKit account. It will not appear on another device, it is not backed up, and clearing your browser data removes it. There is no way to move guest work into a real account afterwards, so treat it as a test drive. #### What is unavailable as a guest - AI assistants, which need a real account and API key. - Exporting a proposal to send on, since guest work never reaches your account. When you are ready, request access from the [contact form](/home#contact). --- ## Section: Proposals & workspace ### Creating proposals URL: https://proposalkit.in/docs/proposals Summary: The three-step builder, and what happens to a proposal after you send it. New proposals come from a three-step builder. Your AI assistant walks you through the same three steps, so both routes produce the same proposal. 1. **Template**: Pick one of 14 templates, filtered by category or search. Your choice fills in the sections, the pricing table, the payment terms and the currency. See [Templates](/docs/templates). 2. **Client**: Choose someone from your directory, enter a new client (who gets added to it), or skip and fill it in later. 3. **Review**: Check the title, the total, the currency and whether it saves as a draft or goes out as sent. Nothing is created until you confirm. > **INFO**: **The title writes itself** — Proposals are titled after the template and the client, for example **Web Development Proposal — Acme Studio**. Change it at the review step if you would rather something else. #### The proposal lifecycle | Status | What it means | Counts towards | | --- | --- | --- | | **Draft** | Being written. Your client cannot see it. | Pipeline | | **Sent** | Delivered, awaiting a decision. | Pipeline | | **Accepted** | Signed off. | Won revenue, and what you are owed | | **Declined** | Lost. | Nothing | | Payment | What it means | | --- | --- | | **Unpaid** | Nothing received yet | | **Partial** | Some received, a balance remains | | **Paid** | Settled in full | > **INFO**: **How your dashboard adds up** — **Pipeline** is everything still in play — drafts and sent proposals. **Won revenue** is what has been accepted. **Outstanding** is what you are still owed. Declined proposals count towards none of them. #### Other things you can do - **Duplicate** — reuse a proposal for a similar job. The copy starts as a fresh draft. - **Version** — bump the version number when you send a revision, so you can tell them apart. - **Cover page** — turn the cover sheet on or off for the preview and the PDF. - **Convert to invoice** — turn agreed payment terms into an invoice. --- ### Templates URL: https://proposalkit.in/docs/templates Summary: All 14 templates and what each one starts you with. A template is a starting set of sections, line items, payment terms and a currency. Your AI assistant sees the same catalog, so asking it to start a web development proposal picks the same template the builder would. --- ### The proposal editor URL: https://proposalkit.in/docs/editor Summary: Writing, pricing, previewing and exporting a proposal. The editor has four tabs. | Tab | Contains | | --- | --- | | **Details** | Title, number, dates, validity, and the client and sender blocks | | **Sections** | The narrative — reorder, rename, rewrite or delete | | **Pricing** | Line items, discount, tax rate and payment terms | | **Notes** | Your internal timeline. Never shown to the client. | #### Writing sections Each section has a title and a body, and comes in three flavours: a standard text block, a **testimonial** pull quote, or a **case study** laid out as challenge, solution and result. - Write in a **visual editor** with formatting buttons, or switch to **Markdown** — your content converts between the two rather than being lost. - Rename any section. Nothing depends on the original heading. - Drag or nudge sections into a different order. - Jump straight to a section from the table of contents. #### Pricing Each line item has a name, an optional description, a quantity and a rate. You never type the total — it is worked out for you: - Each row is a quantity times a rate, and the rows add up to a subtotal. - The **discount** comes off as an amount, not a percentage. - The **tax rate** is a percentage, applied after the discount. - The total is always recalculated from the rows, so your dashboard figures never drift from what the client sees. > **WARN**: **Save before you leave** — Your edits are held until you save. The editor shows when you have unsaved changes, but navigating away without saving discards them. #### Preview and export - **Live preview** in 12 document themes, from understated to bold. - **PDF customiser** for fonts, colours and spacing before you export. - **Undo and redo** across every field while you work. | Export | Good for | | --- | --- | | PDF | Sending or printing a polished document | | Standalone web page | A single file anyone can open, no ProposalKit needed | | Markdown | Reusing the wording elsewhere | | Spreadsheet | Working the pricing up in Excel or Sheets | --- ### Clients URL: https://proposalkit.in/docs/clients Summary: Your directory, and how it relates to the proposals you have sent. A client record holds the company name, contact person, email, phone, website, address and your own notes, and is marked **active**, **inactive** or a **lead**. #### What you see at a glance | Shown against each client | Where it comes from | | --- | --- | | Proposals | How many you have sent them | | Revenue | What they have accepted and paid | | Outstanding | What they still owe across their proposals | #### Why proposals keep their own copy > **INFO**: **Sent documents stay as sent** — A proposal keeps its own copy of the client details from the moment it was created. One you sent last year still shows the address it went to, even after the client moves — editing your directory never rewrites a document you already sent. So updating a client does not update their existing proposals. If a sent document needs correcting, change the client block on that proposal. #### No accidental duplicates Each email address can only appear once in your directory. Adding a client with an address you already have tells you which record it is, rather than creating a second one. --- ### Invoicing & payments URL: https://proposalkit.in/docs/money Summary: Turning an accepted proposal into invoices, and tracking what you are owed. An accepted proposal carries the payment terms you agreed, and those become invoices. Money you receive or pay out is recorded under **Transactions**. | What you record | Notes | | --- | --- | | Money in or out | A payment received, or one you made | | Receipt number | Your own reference | | Linked proposal | Which proposal it settles, if any | | Client or payee | Who paid you, or who you paid | | Amount and currency | The value moved | | Payment method | Bank transfer, UPI, card, cash or cheque | | Status | Completed, pending or failed | | Reference and notes | Bank reference and anything internal | #### Balances Each proposal shows what is still payable. It starts at the full value once the proposal goes out, follows any pricing change you make, and drops to zero once you mark it paid. > **INFO**: **Your bank details on the document** — Fill in Profile → Payment details and they appear in the footer of your invoices, so a client has everything they need to pay without asking. --- ### E-signatures URL: https://proposalkit.in/docs/signatures Summary: Signing a proposal, and the three ways to create your signature. Set your signature up once in Profile → Signature. It is attached to proposals as you create them, so a document keeps the signature as it looked when you sent it. - **Type it** — your name rendered in a handwriting face, chosen from several. - **Upload it** — a scan or photo of your signature. - **Draw it** — sign with a mouse, trackpad or finger. Alongside the signature you can set the signer name and job title, and whether to stamp the time it was signed. > **WARN**: **On legal weight** — ProposalKit records the signature and the details around it. Whether a given signature is enforceable depends on your jurisdiction and how it was collected — the [Terms](/terms) are the authority on that, not this page. --- ### Profile & branding URL: https://proposalkit.in/docs/branding Summary: What your profile feeds into, and making documents look like yours. Profile has five groups, and several of them show up directly on your proposals. | Group | Feeds | | --- | --- | | **My details** | Your name, phone, job title, timezone, bio and links | | **Company details** | The sender block on every proposal — name, business email and phone, address | | **Payment details** | The bank footer on invoices and documents | | **Signature** | The signature block on your proposals | | **Branding** | Your brand name, logo and the typeface used across the workspace | > **WARN**: **Set your company details before drafting** — The sender block is copied onto a proposal when it is created, so filling your company details in afterwards will not backfill proposals that already exist. #### Brand typography Pick a brand typeface and the whole workspace and your documents adopt it, so what you see while editing is what your client receives. --- ## Section: AI assistants ### Working with an AI assistant URL: https://proposalkit.in/docs/mcp-overview Summary: What your assistant can do once ProposalKit is connected. ProposalKit connects to AI assistants through the **Model Context Protocol**, an open standard for giving an assistant real tools instead of guesswork. Once connected, it works in your actual workspace — the same proposals and clients you see in the app. #### What that looks like - **“What is my pipeline this month?”** — reads your dashboard figures. - **“Draft a web development proposal for Acme Studio”** — walks you through the builder. - **“Rename the Overview section to Why Work With Us”** — edits the proposal in place. - **“Add six months of maintenance at 5,000 each”** — updates the pricing and the total. - **“Mark PROP-2026-48213 as accepted”** — moves it through the lifecycle. - **“Which clients still owe me money?”** — reads outstanding balances. > **INFO**: **Not a separate copy of your data** — Your assistant reads and writes the same workspace as the app. A proposal it drafts opens in the editor straight away, and an edit you make in the editor is what it sees next. Your key scopes it to your own proposals and clients. - Create a proposal without your say-so. It has to show you a review summary first. - Work in guest mode, which needs no account and therefore has no key. Replace `YOUR_API_KEY` with your actual key in all instructions. > **DANGER**: **Your key is a password** — It grants access to your workspace. Keep it in your personal settings, never in a file you share with your team or commit to a repository. See [Your API key](/docs/api-keys). Supported AI Clients: Claude, ChatGPT, Google Antigravity, Cursor, VS Code, Windsurf, Codex. #### Claude Connect ProposalKit to Claude on the web, Claude Desktop, the terminal CLI, or via the Claude extension in code editors. 1. **Claude on the web: Settings → Connectors**: Click **Add**, at the top right of the Connectors page. 2. **Name**: `ProposalKit` 3. **URL**: `https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY` 4. **Transport notice**: A notice about the transport being deprecated is expected. Carry on. 5. **Authentication**: Leave **No sign-in**. Your key in the URL identifies you. 6. **Add**: The connector opens with all ProposalKit tools listed. ```json (claude_desktop_config.json) { "mcpServers": { "proposalkit": { "serverUrl": "https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY" } } } ``` ```bash (Claude CLI (terminal)) claude mcp add --transport http --scope user proposalkit \ https://pkapi.proposalkit.in/mcp/sse \ --header "X-API-Key: YOUR_API_KEY" ``` 1. **Claude Extension (in VS Code, Cursor, Windsurf, or Antigravity)**: Run `/mcp` in the Claude chat panel and click **Add server**. 2. **Transport**: Choose **HTTP (remote)**. 3. **Name**: `proposalkit` 4. **URL**: `https://pkapi.proposalkit.in/mcp/sse` 5. **Headers**: `X-API-Key: YOUR_API_KEY` 6. **Scope**: **User**, so it is available across all your workspaces. #### ChatGPT Connect ProposalKit as a custom plugin in ChatGPT using Developer mode and the SSE endpoint. 1. **Settings → Plugins → Developer mode**: In ChatGPT, open **Settings** (click your profile avatar at the bottom-left corner) → select **Plugins** → toggle **Developer mode** to ON. 2. **Add Plugin from Sidebar**: From the left sidebar, click the **Plugins** icon and click **+** (Add) to open the plugin configuration dialog. 3. **Enter Server URL**: In the connection configuration modal, paste the SSE endpoint: `https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY` 4. **Authentication**: Choose **No auth** (since your API key is already embedded in the connection URL). 5. **Create & Connect**: Click **Create**. Once completed, all ProposalKit tools will be listed and active in your ChatGPT plugin catalog. ```bash (ChatGPT Plugin URL) https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY ``` #### Google Antigravity Google Antigravity provides native MCP support for autonomous agents, subagents, and IDE chat. 1. **Open MCP Configuration**: In Antigravity IDE, open your global or workspace `mcp_config.json` (or navigate to Antigravity Settings → Manage MCP servers). 2. **Add Server Entry**: Paste the `proposalkit` server configuration below, replacing `YOUR_API_KEY` with your actual key. 3. **Ready to Use**: Antigravity agents will instantly discover all ProposalKit tools for creating proposals, editing sections, and checking pipeline statistics. ```json (mcp_config.json) { "mcpServers": { "proposalkit": { "serverUrl": "https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY" } } } ``` #### Cursor Use ProposalKit directly in Cursor Composer, Agent mode, and Chat. 1. **Open MCP Settings**: Open Cursor Settings → **Features** → **MCP Servers**, or edit `.cursor/mcp.json` in your project (or `~/.cursor/mcp.json` globally). 2. **Add proposalkit Server**: Add the server definition below. If adding via the Cursor UI, set Type to `sse` and paste the URL. 3. **Verify**: Refresh the MCP servers list. A green indicator confirms ProposalKit tools are ready to run. ```json (.cursor/mcp.json) { "mcpServers": { "proposalkit": { "serverUrl": "https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY" } } } ``` #### VS Code Connect in VS Code via MCP-enabled extensions including Claude Extension, Roo Code, Cline, or GitHub Copilot. 1. **Open Extension MCP Settings**: In VS Code, open the settings or MCP panel of your chosen assistant extension (e.g. Cline, Roo Code, or Claude). 2. **Add Remote Server**: Choose **HTTP / SSE** remote transport and specify Server URL `https://pkapi.proposalkit.in/mcp/sse?api_key=YOUR_API_KEY` (or URL `https://pkapi.proposalkit.in/mcp/sse` with header `X-API-Key: YOUR_API_KEY`). 3. **Save & Discover**: Save your configuration. See [Troubleshooting](/docs/troubleshooting). --- ### The guided builder URL: https://proposalkit.in/docs/mcp-wizard Summary: Why your assistant asks questions instead of inventing a proposal. Left to its own devices an assistant will happily invent a client, a scope and a price. ProposalKit does not let it. Creating a proposal follows the same three steps as the app, and the assistant has to ask you each one. #### The three questions | Step | It asks | | --- | --- | | 1 | Which template do you want to start from? | | 2 | Who is this proposal for? | | 3 | Here is the summary — shall I create it? | #### What is guaranteed - **Nothing is saved until you confirm.** The review summary is a preview, not a created proposal. - **It cannot skip a step.** Asking it to jump to the end sends it back to the question it missed. - **It will not guess.** An unfamiliar template name or an ambiguous client makes it ask again rather than pick for you. - **No accidental duplicates.** Confirming twice gives you the proposal that already exists. - **No silent zero-value proposals.** Starting from a blank template makes it ask what the job is worth. > **INFO**: **You can stop and come back** — A part-finished proposal is held for a couple of hours. Sections can be named or referred to by position. #### Your workspace at a glance - Pipeline and won revenue, proposal counts by status, outstanding balances and client totals. #### Creating a proposal - Browse the template catalog before committing to one. - Start a proposal and step through template, client and review. - Change the title, total, currency, status, validity, payment terms, discount or tax at review. - Pause and resume a part-finished proposal, or discard it. - Create it — only once you have confirmed. #### Finding and updating proposals - List proposals, filtered by status or searched by title, number or client. - Read a proposal in full, including its sections and pricing. - Update the title, client details, currency, validity or payment terms. - Move it between draft, sent, accepted and declined, and set whether it is paid. - Create one in a single step when you already know the template, client and value. #### Writing sections - List the sections of a proposal with their order. - Add a section anywhere in the running order. - Rename a section without touching its content. - Rewrite a section, or append to what is already there. - Delete a section, with what it contained reported back so you can undo it. - Reorder sections. #### Pricing - Read the pricing table with row amounts, subtotal, discount, tax and total. - Add a line item. - Change a line item's name, description, quantity or rate. - Remove a line item. - Replace the whole table, or set a discount, tax rate and payment terms at once. > **SUCCESS**: **Totals always stay honest** — Every pricing change recalculates the proposal value and what you are owed, so your dashboard never disagrees with the document. #### Clients - List clients with revenue and outstanding balances, filtered by status or searched. - Add a client to your directory. #### When something is ambiguous If two sections share a title, or a client name matches several records, your assistant is told to come back and ask rather than pick one. If you typed a total that did not match the rows, the rows win — edit the rows, or restate the total so the table is rescaled to match. | | The sender block is blank | Your company details were empty when the proposal was created. Fill in Profile → Company details, then correct the sender block on that proposal. | | Editing a client did not update their proposals | That is deliberate, so sent documents stay accurate. Change the client block on the proposal itself. | | My brand font is not on the document | Set it in Profile → Branding. The preview picks it up once saved. | #### Signing in | What you see | Why | | --- | --- | | My authenticator code is rejected | Enter the current code, and check your device clock is set automatically. | | Too many attempts, account locked | Repeated failed sign-ins lock an account briefly. The message says how long is left. | | I was signed out unexpectedly | Sessions expire after a while. Sign in again. | | I lost my authenticator | There is no self-service reset. Use the contact form below and we will re-enrol you. | #### AI assistants | What you see | Why | | --- | --- | | The assistant cannot connect | Check the key you pasted matches Profile → API key, and that you have not rotated it since. | | My key has expired | Keys expire periodically. Rotate it in Profile → API key, then update each AI tool you use. | | The assistant cannot see my proposals | It is probably connected to a different workspace than the one you are looking at. Re-check the key. | | It invented proposal details instead of asking | Ask it to start again. It should walk you through template, then client, then a review before creating anything. | | It edited the wrong section | Two of your sections probably share a title. No. A proposal is only visible to a client once you send it. #### How do my clients receive a proposal? Export the finished proposal from the editor as a PDF or a self-contained web page, then send it to your client however you normally would. They need no ProposalKit account and nothing installed — a PDF opens in any reader, and the exported page opens in any browser on phone, tablet or desktop. #### Can I use my own branding? Yes — your logo, brand colours and typeface, plus 12 document themes to choose from. See [Profile & branding](/docs/branding). #### Can I change a proposal after sending it? Yes. Edit it, bump the version so you can tell revisions apart, then export and send the updated document. #### What currencies are supported? Any currency you set on the proposal. The country templates default sensibly — rupees for India, dollars for the United States, pounds for the United Kingdom. #### Is two-factor authentication really compulsory? Yes.
